OPTIONAL Community Open House -Two Meetings Up to two community open house meetings will be held at the Client's request in locations selected and secured by the Client. This open house will provide an opportunity for citizens and other stakeholders to see changes that have resulted form input received from appointed and elected officials at the joint meeting. C. Plan Hearing(s) The Consultant will participate in up to two public hearings leading to adoption of the final plan. The team will present a summary of the proposed document and be available to respond to questions and concerns that may arise during the meetings. D. Preparation of the Final Plan At the conclusion of all hearing(s), the Consultant, following direction from the Client, will make any revisions needed to reflect minor changes suggested during the hearing(s). The Consultant will then prepare the final document for delivery to the Client. COMMUNITY INVOLVEMENT For community involvement, the Consultant will set the agendas, provide the materials required (excluding the equipment listed below), and lead the meetings. The Consultant will assist the Client in planning the public meetings by: • Participating in selecting the meeting dates, • Describing the type of facility appropriate for each meeting, • Describing the types of equipment each that should be available for use by the Consultant in each facility (i.e., chairs, tables, projection screen, table for projector, etc.), • Helping to determine the appropriate meeting notification methods, and • Suggesting an appropriate meeting time and length for each meeting. (Note: The Client will identify and reserve the appropriate meeting locations, and pay any associated fees for use of facilities. The Client will also be responsible for meeting notification.) Meetings under this Scope of Services include: A. Appointed and Elected Officials Meetings /Work Session The Consultant shall make a presentation of the plan to appointed and elected officials and staff at the end of the process. Summary meeting notes from the presentation will be prepared and submitted to the Client for review and potential action/update of the draft plan. NOTE: At the C/ienYs request, the Consultant will conduct additional meetings with the same group at the mid-point or other points in the process as a joint work session.
