Planning and Zoning Commission <br />Minutes <br />January 8, 2019 <br />37 <br /> <br />Mr. Rockett: So at this time, I will restate my motion. <br />There being no further discussion, Mr. Brent Rocket restated his motion. <br />Mr. Brent Rockett, MOTIONED, SECONDED by Ms. Holly Grimsley to TABLE CUSE2018- <br />00004, until following a site visit by Staff and Board until the date of February 12, 2019. The <br />vote was unanimous. <br />Directors Report: <br />Ms. Susie Morris said at the beginning of each year either December or January we try to check <br />in with the Board to see if the time that we are meeting is still appropriate for everyone and if <br />there are any suggestions to move the meeting or the meeting time. <br />Last year, when we tried to do that we still had some members who were commuting in from <br />Charlotte so the meeting stayed at 7:00 p.m. This year when we sent the poll out to everybody, <br />there was interest in moving the meeting to an earlier time and based on the poll, it does seem <br />that everybody would be available at 6:30 p.m. If the Board would like to move the meetings to <br />then, we had confirmation that everybody thought they could be here at that time. <br />As part of that conversation as well, one of the topics that came up was if we could establish an <br />end time for our meetings. She checked with the School of Government, and Professor Owens <br />and Professor Lovelady, both confirmed that you could establish an end time for the meetings <br />and that it was very common across the State for people to do that. <br />Right now, we have to be end the meetings by 10:30 p.m. and be out of the building. If the Board <br />is still interested in moving the meeting time to start earlier and if you want to put a cap on the <br />end time we are clearly able to do that. <br />Mr. Litaker said they would need a cell phone number to call for if they are stuck in traffic. He <br />said it take 26 minutes to get here if everything is normal. <br />Ms. Morris said typically, Ms. Roberts and I are both here in the office between the meeting and <br />most of the Board already has her cell number. If there is a problem, just let us know and we can <br />let the others know that you are running late or something like that. <br />Mr. Litaker said it is hard to get in touch with somebody when you are stuck in traffic. <br />The Chair said they could text him if they want too. <br />Ms. Morris said most people have her cell number and if they are late they will text or call. It <br />seems that 6:30 is the way go if the Board wants to start the meetings a little bit earlier.
